Project Admin - "Design", "Pre-construction" and "Construction" phase projects
Design, Pre-construction and Construction phase projects in Webuild are almost identical in terms of functionality. The only differences between phases are the private metrics captured in each phase for reporting purposes. Some metrics are captured when a project is created, while others are captured at the end of a phase when a project is closed.

All project types can be handed over from one phase to another without restrictions. When a project is handed over to key members of the next phase, the following items are passed on to the new project:
Project Admin - Hand over project to next phase
Once one phase of a project is complete, users can hand over the project to key team members managing the next phase. For example, a design phase staff member handing over a project to colleagues managing the pre-construction phase of the project.
When a project is handed over to key team members of the project’s next phase, the following items are passed on to the new project:
In your Webuild account, you can hand over a project to team members managing the next phase by following the steps below.
Login to your account and locate the project you would like to hand over in your “Projects” list.
After locating the project you wish to hand over, click the overflow button on the right-hand side and select “Handover”.
Select the next phase of your project, then click the “NEXT” button.
Note: Any project type can be handed over to any phase.
After confirming the project’s information, scroll down to complete the “Private Information” section (used for reporting purposes) then click the “NEXT” button.
Search for project team members responsible for the next phase and click to add them to the list. You can also add a new team member by clicking the “ADD NEW TEAM MEMBER” button located on the bottom of the search list.
Set each team member’s Permission Role, then click the “CREATE” button to handover the project.
After finishing the handover wizard, you will be directed in to the dashboard of the project.
When handing over a large project with lots of files and data, the handover process will run in the background. You and your project team will be automatically notified when it’s ready to view.
Any added team members will receive an email notification like the one below, with a button directing them to your project.
Note: A copy of your project will still be available under it’s previous phase after it is handed over for your record.
Project Admin - Close a Design Phase project
To close a Design Phase project, follow the steps below:
Login to your account and locate the project you would like to close in your “Projects” list.
Click on the related project’s status menu and select “Complete” from the list.
Click the “YES” button in the confirm dialog to close your project.
Project Admin - Close a Pre-construction phase project
Click on the related project’s status menu and select “Won” (if your company was awarded the project) or “Lost” (if another company was awarded the project) from the list.
Type in your project’s result information for company reporting purposes (this information cannot be viewed by anyone outside your company).
You can let all bidding contractors know your bid for the project has been successful by clicking the “Bidding Contractors” checkbox under the notifications section of the dialog. You can also opt to send notifications about the project’s result to your company’s users by selecting the “Company Users” checkbox.

Project Admin - Close a Construction Phase project
To close a Construction Phase project, follow the steps below:
Login to your account and locate the project you would like to close in your “Projects” list.
Click on the related project’s status menu and select “Complete” from the list.
Type in your project’s result information for company reporting purposes (this information cannot be viewed by anyone outside your company), then click the “SAVE” button to close the project.
If your team has been utilising the project’s Extension of Time (EOT) module, the working week, Original PC date, Actual PC date and Approved EOT days will be automatically populated.
These metrics give us the “Forecast v Actual Days (+/-)” figure that provides insight in to how many days ahead (-) or behind (+) schedule the project was completed.
This metric takes in to account the project’s working days and can be calculated using the below formula:
Forecast vs Actual Days = Actual PC date – Original PC date – Approved EOT days
Project Admin - Archive a project
To archive, a project, follow the steps below.
Login to your account and locate the related project in your “Projects” list.
After locating the project you wish to hand over, click the overflow button on the right-hand side and select “Archive”.
Note: You can access an archived project by clicking on the “Show Archived” checkbox on the top-right hand side of your phase block.
Project Admin- Unarchive a project
When a project is archived, it is hidden from your list of “active” projects. Archived projects can be recovered by following the steps below.
Click on the “Show Archived” checkbox location n the top-right hand side of the related phase block.
Click the overflow button to on the right-hand side of your project and select “Unarchive” in the menu.
After the confirmation dialog appears, click the “UNARCHIVE” button and your project will be restored in your “Active Projects” list.
Project Admin - Hide a Project Invitation from Projects page
To hide a Project Invitation from your Projects page, follow the steps below:
Login to your account and locate the Project Invitation you would like to hide in your “Projects” list.
Click on the related project invitation’s overflow button and select “Hide” from the list.
